SafeHire is a background screening software for internal use for B2B. A government agency is implementing a new system across the entire organization to manage background screening. The agency decided they needed a business-led plan with an IT-led approach, buy-in from employees who would have to use these systems, and external support from ideation to implementation.
The existing processes for background screening are manual, inconsistent and paper based, so in order to bring in new technology, the agency created an internal group to modernize the processes first. This group wanted a guide for them to follow to design from within. Thus, research and design was utilised to empower stakeholders on how to identify what their future should look like and how the processes can be improved, modernized and unified.

The team is composed of a Client Account Lead, Group Operations Director, Design Director, UX Lead, Project Manager, three UX designers, and two Front End Developers, the client is a government agency with approximately 2.91 million employees.
SafeHire is a one-stop-shop IT system for end-to-end background screening. It will be one consolidated system designed to deliver robust data protection, enhance customer experience, and better integrate data across the enterprise.
SafeHire is working to build out multiple delivery methods to meet customer needs for delivery through the system as well as delivery to external systems. These mechanisms are still in development but are expected to be configurable for each agency based on their preferences. It makes the application process more intuitive and easier to use for applicants initiating a background screening.
Assess and redesign existing processes, data, policies, and other relevant areas to reimagine background screening for the entire organization
The methodology used was rooted in the Scaled Agile Framework (SAFe) which uses short iterative cycles for faster and more accurate product delivery
The approach was aligned with the long-term goals of the product owners.
Using the Human Centered Design methodology, it considers the needs and wants of users and increases user satisfaction and accessibility, simply by putting people first in the design process
These six guiding principles represent core tenets of a cohesive and collaborative background screening system. When integrated with each step of development and operations, they allow employees to communicate clearly and precisely, respond quickly to their collaborators and customers needs, and speed along a background screening to its conclusion.
The deliverables represent the product owners vision and sets up the scrum teams for success.
